Refund Policy

What’s refundable, what isn’t, and how to request a refund.

We want you to know exactly what is and isn’t refundable before you place an order. If anything here is unclear, use the free Document Review Portal or contact us before you pay, not after.

1. Before You Pay: Free Document Review

Most refund requests happen because a document turns out not to be eligible for apostille, needs notarization first, or was submitted for the wrong service. We offer a free Document Review Portal specifically to catch these issues before you pay. We strongly encourage you to use it if you are unsure whether your document qualifies.

2. Order Cancellations

  • Before we begin processing (i.e., before your document has been submitted to the Secretary of State, the U.S. Department of State, or a translator): cancel any time for a full refund of our service fee.
  • After processing has started but before the government office or translator has completed the work: we will refund our service fee minus any government or third-party fees already paid on your behalf, which are non-refundable once submitted (see Section 3).
  • After your apostille, notarization, or translation has been completed: no refund of our service fee, since the service has been fully rendered.

3. Government and Third-Party Fees Are Non-Refundable

Apostille and authentication fees charged by a Secretary of State or the U.S. Department of State, embassy/consulate legalization fees, and third-party translator or notary fees are set by those offices, not by us. Once we have submitted your document and paid these fees on your behalf, they cannot be refunded by us, regardless of the outcome. This is separate from our own service fee, which is addressed in Section 2.

4. Document Rejection by a Government Office

If a Secretary of State, the U.S. Department of State, or an embassy/consulate rejects your document (for example, because it is not an original, is improperly notarized, is not eligible for apostille, or is otherwise deficient through no fault of ours):

  • We will notify you and explain what’s needed to correct the issue, if a correction is possible (for example, obtaining a certified copy or completing notarization).
  • Government or third-party fees already paid on the rejected submission are non-refundable, per Section 3.
  • If you choose not to correct and resubmit, our service fee for the uncompleted portion of the order will be refunded.

If a rejection is due to an error on our part (for example, submission to the wrong state), we will correct it at no additional charge, or refund our service fee in full if correction is not possible.

5. Rush and Same-Day Service

Rush and Same Day surcharges reflect our own expedited internal processing and courier priority. They do not guarantee a specific completion time by the issuing government office, which sets its own turnaround times that are outside of our control. If we fail to expedite our own portion of the work as promised, we will refund the rush/same-day surcharge; we cannot refund it for delays caused by the issuing government office.

6. Notarization and Translation Add-Ons

Notarization and translation fees are refundable before the notarization or translation has been performed. Once a document has been notarized or a translation has been completed and delivered, that portion of the order is non-refundable, as the service has been rendered.

7. How to Request a Refund

Email admin@nationalapostilles.org or call (771) 777-4807 with your order number (format NAP-XXXXXXXXXX, found on your confirmation email or at Track Order). Approved refunds are issued to your original payment method via Stripe and typically appear within 5–10 business days, depending on your bank.
