National Apostille LLC (“National Apostille,” “we,” “us,” or “our”) provides nationwide apostille, notarization coordination, certified translation, and related document-processing services. This Privacy Policy explains what personal information we collect, how we use it, who we share it with, and the choices you have. By using our website or services, you agree to the practices described here.

1. Information We Collect

When you request a quote, book a service, upload a document, or contact us, we may collect:

• Contact information: name, email address, phone number, and mailing address.
• Document content and images: scans, photos, or physical copies of the documents you submit for apostille, notarization, or translation, which may include sensitive personal data (dates of birth, government-issued ID numbers, family information, etc.).
• Order and payment details: service selections, order number, transaction amount, and payment status. We do not store full credit card numbers ourselves; payments are processed by Stripe (see Section 4).
• Communications: messages you send us by phone, email, or contact form.
• Website usage data: pages visited, browser/device type, and similar analytics collected automatically through standard web technologies (see Section 5).

2. How We Use Your Information

• To prepare, submit, and track your apostille, notarization, or translation order.
• To communicate with you about your order, including status updates and requests for additional information.
• To process payment through our payment processor.
• To coordinate with the relevant Secretary of State’s office, the U.S. Department of State, or an embassy or consulate, as required to complete your order.
• To respond to customer support requests.
• To comply with legal obligations and to detect or prevent fraud.
• To improve our website and services.

We do not sell your personal information. We will not share your personal information for marketing or promotional purposes.

3. Who We Share Information With

We share information only as necessary to provide our services:

• Government offices: the Secretary of State of the relevant state, the U.S. Department of State, or a foreign embassy/consulate, in order to obtain your apostille, authentication, or legalization.
• Service providers: our payment processor (Stripe), our forms and workflow provider (Fluent Forms, self-hosted on our own servers), shipping carriers, and our website/hosting provider (WordPress.com), each of whom processes data on our behalf and is contractually or technically limited in how they may use it.
• Legal and safety: when required by law, subpoena, or court order, or to protect the rights, property, or safety of National Apostille, our customers, or others.

We are a private company and are not affiliated with any Secretary of State, the U.S. Department of State, or any other government agency; we submit your documents to those offices only as your authorized agent or courier.

4. Payment Processing

All payments are processed securely through Stripe. We do not store your full credit card number, CVV, or bank account details on our servers. Stripe’s use of your payment information is governed by Stripe’s Privacy Policy.

5. Cookies and Website Analytics

Our website may use cookies and similar technologies to remember your booking progress, keep you signed in where applicable, and understand how visitors use our site so we can improve it. You can disable cookies in your browser settings, though some parts of the site (including the booking wizard) may not function correctly without them.

6. Data Retention

We retain order records, including the documents you submit, for as long as necessary to complete your order, respond to any follow-up questions, and comply with our legal, tax, and accounting obligations. You may request deletion of your information as described in Section 7, subject to our need to retain records required by law.

7. Your Choices and Rights

Depending on where you live, you may have the right to request access to, correction of, or deletion of your personal information, or to object to certain uses of it. To make a request, contact us using the information in Section 9. We will respond within a reasonable time and in accordance with applicable law.

8. Data Security

We use reasonable administrative, technical, and physical safeguards to protect your information, including encrypted transmission (HTTPS) and restricted access to systems that store your data. No method of transmission or storage is completely secure, and we cannot guarantee absolute security.
